Los Altos Library Program Room
Guidelines &
Procedures

The Los Altos Library Program Room may be booked by organizations in accordance with the Santa Clara County Library’s Meeting Room Policy (Santa Clara County Library Procedures Manual, Part A, Section 510.1, page 1, March 2001).

The Program Room is available for use by organizations, not affiliated with the County Library, on:

Friday 5:00 p.m. - 11:00 p.m.
Saturday 10:00 a.m. – 11:00 p.m.
Sunday 12 noon - 11:00 p.m.

All bookings and payments are made in person at the Children’s Reference Desk.

In order to serve as many organizations as possible, no organization will be booked more than once a month, nor more than three months in advance.

The application for use must be completed by the person who is responsible for the activities of the organization and for ensuring that library rules are followed. If that person is not attending the program, he or she is still the responsible party. Names and phone numbers may be made available to the public.

Permission to use the room by organizations that meet on a regular basis is subject to periodic review and may be revoked at any time.

The following items are available for use:

  • 100 stacking chairs
  • 13 folding tables
  • sink
  • podium
  • white board
  • projection screen
  • slide projector
  • overhead projector
  • VCR and DVD player
  • television
  • amplifier and two microphones

The Program Room can accommodate a maximum of 100 people. The room is not available for use by fewer than ten people.

The fee to use the Los Altos Program Room is $10.00 per reservation.

Overall responsibility for the Los Altos Program Room rests with the Children’s Program Librarian.

The Program Room and library equipment must be left clean and in good condition. Clean up is the responsibility of the organization using the room. Set up time and clean up time are included in the time booked.

The organization using the room may set up tables and chairs as needed. Setting up tables and chairs is the responsibility of the organization. Any library audio visual equipment used must be returned to the Program Room closet.

Only light refreshments, such as punch and cookies, may be served.

Smoking and alcoholic beverages are not permitted. Only service animals are allowed.

High wattage equipment is not permitted. Decibel level or programs must be appropriate to a library.

All publicity for programs must include a contact phone number other than that of the Los Altos Library and must not imply that the library is sponsoring the program.

The organization must notify staff at the Children’s Reference Desk when they arrive and when the program is over so that the doors to the lobby can be unlocked/locked and dealarmed/alarmed. If the library has closed when the organization is finished with the room, the organization must turn off all lights in the Program Room and the public restrooms, and insure that the exterior lobby doors are locked.

Permission to use the room will be granted upon the condition that all rules for use are followed. Permission may be revoked for failure to do so. The person who signs the application will be assessed for any damages.
